Purchasing Clerk

Under limited supervision, be responsible for providing administrative and clerical support to the Corporate Procurement Team with functions critical to the Procurement Department. Provide support to the Sourcing Team, as needed to have vendors properly set up in the system and reroute vendors to corresponding employees and/or departments.
- Liaison via email/phone between external vendors and internal corporate departments.
- Coordinates with multiple departments with the re-onboarding process for existing vendors.
- Support accounts payable for all vendor management issues to ensure timely payments to all vendors.
- Monitors and maintains updated vendor documentation as per company policies.
- Supports vendors and the Ariba team in any technical questions while onboarding.
- Maintains all documentation that is needed to verify vendors for auditing purposes.
- Updates Vendor Management spreadsheet to assist in keeping track of tasks.
- Practices customer service and confidentiality in the performance of job duties.
- Perform other duties as assigned, as the role develops in the Administrative Department.
- Provide back-up for the Purchasing Clerk and other Administrative Team members as assigned/needed.
- Performs other duties as assigned.
EDUCATION & EXPERIENCE
High School Diploma, GED or equivalent required, associate degree preferred. 2 years of experience in a similar position. *Any equivalent combination of related education and/or experience may be considered for the above.
KNOWLEDGE, SKILLS, ABILITIES
- Coordinated and maintained purchasing systems and procedures.
- Ability to properly interpret and make decisions in accordance with laws, regulations, and policies.
- Ability to work cooperatively with executive and management staff and all levels of employees.
- Work requires good customer service skills.
- Work requires the ability to communicate clearly and concisely, orally and in writing.
- Outstanding organizational skills and levelheaded characteristics are extremely necessary due to the high amount of email traffic.
- Proficiency using Teams, Microsoft Excel, Word, and Outlook.
- Work requires having a high level of accuracy and attention to detail in a heavy workload role.
- Must have excellent communication skills and represent the company in an outstanding manner.
- Must be able to keep up with email follow-up and follow through on vendor issues.
- Must Maintain a high level of confidentiality.
